Working with employees: special features

There might be a situation when the same person was designated differently in an external system. While importing projects ProjectsProfiler automatically detects the employee data match (e.g. phone number, e-mail etc.). Moreover there can be roles instead of employees (e.g. "analyst", "developer1" etc). In order to maintain imported information analysis consistency ProjectsProfiler offers the following features:

merge several employee records;
separate an employee between projects by dividing the general employee record;
split general employee record into multiple employees records per every single project it is linked to.

Example

Project managers don't make their plans in a shared resource. The same employee is recorded differently in different plans: "A. Fisher" и "Fisher Andrew". In this case it is recommended to merge these records into a single one.


To merge employees records:


1.In any mode when employees are shown on the navigation panel select employees you would like to merge by holding <Ctrl> and clicking their names.
2.Select Merge in the context menu. ProjectsProfiler will merge several employees' records into a single one (with all assignments to jobs). The result is saved in ProjectsProfiler even after project information refresh.
3.Edit the employee information if necessary.

Example

The same employee Fisher was assigned to the tasks in different projects. However, at the moment of making analysis in ProjectsProfiler it becomes known that another employee will be assigned to the project "Expedition" in fact — Mr. Nicholson. In this case it is reasonable to apply "draw employee to project" for Fisher. In this case in "Expedition" project a separate employee will be created (with his own assignments to this project jobs) which should be renamed into Nicholson.


To draw an employee out of a project:


1.Choose the Projects, Employees mode in the navigation panel.
2.In the navigation panel select the employee record in the project you would like to draw employee out of.
3.Select Draw out of a project in the context menu. ProjectsProfiler will make a separate record for this employee (with all assignments within this project). The result is saved in ProjectsProfiler even after project information refresh.
4.Edit the employee information if necessary.

You can draw employee out of a project in Employees, Projects mode as well.

Example

In external system an abstract resource "Tester" was used while planning. At the moment of making analysis it is known who exactly will perform these functions in every project. In this case you can either consequently draw "Tester" out of the projects one by one or split "Tester" into every project at once and rename these records. Afterwards you can merge these records with the real employees' records you already have in ProjectsProfiler.    


To split general employee record into projects:


1.Choose the Employees, Projects mode in the navigation panel.
2.In the navigation panel select the employee record you would like to split into the projects.
3.Select Split into projects in the context menu. ProjectsProfiler will replace initial employee record with multiple records one per each project which the initial employee was assigned to. The result is saved in ProjectsProfiler even after project information refresh.
4.Edit the employee information if necessary.
